Invite a team member with the right access

Set the role and location scope before your colleague starts work.

Before you start

Use an account permitted to manage team invitations. Each person should use their own account.

Prepare and send the invitation

  1. Open Team and the invitation action available to your role.
  2. Check the recipient’s email address with them.
  3. Choose the role that matches their responsibilities and assign the locations they need.
  4. Review the invitation before sending it.
  5. Ask them to accept it, then verify they can reach the expected workspace.

Keep access appropriate to the job

A receptionist and a business owner do not need identical permissions. Start with the access needed for the person’s work. Do not grant an administrator role solely to hide an error.

Location assignment and service eligibility may also affect what the team member can do. Check those settings when their account works but an expected task is missing.

When responsibilities change

Review role and location access when a person changes jobs or leaves the business. Revoke unused invitations through the supported workflow. If an invitation was replaced, tell the recipient to use the newest message.
